Minutes of Open Meeting Tuesday 26 November 2019 at Jean's house

Matters arising
Jane had written a piece about the meal at the Raj for the next newsletter.
Jean reported that the Quiz had been well attended. In total 33 people participated, including members from MK lets and Hemplets as well as friends and family of letsbuzz members. Sterling entrance fees paid came to £51 which covered all our costs.
Officer’s reports
Bob (Membership): there are no new members. There are still six members who have not renewed or resigned. Jean and Valerie had both contacted members who had not so far responded. We agreed that Bob would email three members to say that we would assume they wanted to resigni from letsbuzz, and that Rosemary and Jane would contact other members that we thought probably still wanted to remain in membership but had not yet renewed.
Jean and Jane (Co-ordinators) have carried on answering queries and co-ordinating events.
Mary (Sterling Treasurer) reported that membership payments and Quiz Night income has been paid in to the account and a cheque payment for the hire of St Barnabas hall made. The balance currently stands at £278.13

Although the number of Buzzards traded this time have fallen substantially, the number of trades conducted has remained fairly consistent, the last period was increased because of Joan’s departure from Letsbuzz.
There were 12 member to member trades with a value of 123B.
3 members expenses were claimed totalling 18B.
The overall deficit of Organisation Account has reduced to -6938 a fall of 32 Buzzards which was helped by a small surplus from the quiz, with 30B received for quiz, 25B paid for cakes.
Trading events certainly boost the trading activity and we have a couple of events coming up in the New Year which will encourage trading.

Events
Ashridge walk, trade and lunch Jean reported that Janet Stupples had offered to host an event on a Sunday in the spring or summer. Ja\net will offer coffee and tea along with time for trading, followed by soup then a walk from Janet's garden. Members could come to all or part as agreeable to them. We agreed that bluebell time would be good for a walk. Jean to ask Janet to suggest a date.
Dates have been confirmed for three other events:
Jane’s wreath making: This will be on Sunday 8th December from 2:00 – 4:00pm.
Wine Tasting: Rory and Doreen have volunteered to host a wine tasting evening on Friday 24 January
Clothes Trade: Barbara has offered to host this on Sunday 16 February and Valerie has agreed to help organise.
AOB
1. Repair cafe: several members had attended the Climate Change meeting at All Saints Church on 16 November where one of the ideas put forward was the idea of setting up a repair cafe. After the meeting Esther Clarke had emailed Jane to ask if letsbuzz members would be interested in being involved, especially in volunteering time and skills as repairers. We agreed that Jane would put interested members in touch with Esther and also ask Esther to let people know about letsbuzz.
2. letsbuzz publicity leaflet: we all agreed that our publicity leaflet needs an update. Jane had produced two different drafts for comment. Agreed that Jane will circulate these to us for comment at the next meeting. Once we have a revised draft we'll also ask for feedback from people who aren't members of a lets scheme.
3. Frequency of meetings: we discussed the frequency of Open meetings and agreed that instead of meeting monthly we would from now on meet every 6-8 weeks as required, depending on activities and events.
