Matters Arising
Policy for guests at events: this will be discussed at the AGM
Reference to Book Group and Music Group in handbook: Bob is working on changes to this.
Publicity: There was some discussion about how effective publicity is, especially after looking at the results of the survey (see below). However, Jane will take some leaflets into Natures Harvest.
Officers’ Reports
Sue has continued to post Letsbuzz events on Facebook. She also booked the hall for the ‘bring and share’ meal. She has asked for 2 buzzards for her work. This was agreed.
Joan sent in a report (see below) and has asked for 6 buzzards for her work as buzzard treasurer.
Bob reported that he has amended the draft handbook to incorporate members’ feedback. He is still ‘tinkering’ with the wording and it will be ready to present at the AGM. He also reported that we have had one new member since the last meeting: Carmela (263). He has asked for 6 buzzards for his work. This was agreed.
Jane has also asked for 12 buzzards for constructing the Christmas tree for the Christmas tree festival; her work on the questionnaire and for doing the last newsletter. This was agreed.
Results of the Questionnaire
Jane passed round a summary of the questions and answers. There was some discussion of the problems with Cyclos for advertising offers and wants as this was an area that was highlighted in members’ answers. The possibility of an email group was discussed and Jean will discuss this with Rory. It was agreed that this should be discussed at the AGM. In the meantime: Bob will send a message to all members asking if they are happy for their email addresses to be circulated to members.
It was also noted that the majority of people joined Letsbuzz after a recommendation from a friend.
It was agreed that the questionnaire should be discussed further at the next meeting and that Jane will write a report about the questionnaire for the next newsletter.
Thanks were given to Jane and Bob for their work on the questionnaire.
Bob circulated the latest draft.
There was some discussion about the membership agreement and whether we needed one and if so how should it be presented. Jean mentioned that, on the application form, members sign to say that they agree to abide by the Membership Agreement. It was suggested that the agreement be printed on the application form itself. Bob agreed to draft a new application form and present it at the AGM.
The Bring and Share Meal
This was a success: twenty two people attended including three new members. It was agreed to have another one next year. Thanks to all who had a hand in booking the event and who helped on the day to make it such an enjoyable event.
Future events
Caroline (228) has agreed to organise a lunch time meal at the Raj on 4th March. She hopes to start with a short walk for those who are interested (those who don’t want to walk can meet the others at the restaurant).
AGM: the date has been set for 28th April. Bob proposed, for future AGMs, making the date the last Saturday in April. This is yet another thing that needs to be decided at the AGM! It was decided not to have a speaker this year as there is quite a lot of business to discuss. Jean requested that Bob chair the meeting this year and he agreed.
Janet Stupples (102) has offered to hold a bluebell walk in Ashridge (where she lives) on 6th May. This will be followed by lunch. Jean will send out further details.
The possibility of a quiz later on in the year (possibly autumn) was discussed. Jane suggested that members could bring guests who would then get a ‘feel’ of what Letsbuzz members were like (and possibly decide to join if we haven’t put them off!). Jean said that this should apply to all events.
Jean said that she will do another plant and produce day next autumn after the success of it last year.
Any other Business
Newsletter: Jean will send a message asking for a volunteer to produce the next newsletter and one to distribute it (as Christine is not able to).
